Microsoft have announced that you will soon be able to manage how long guests can access SharePoint Online and OneDrive documents. You will be able to do this by creating a policy stating when to automatically revoke access for the external guests.
How could this affect you?
SharePoint and OneDrive facilitates, and encourages, collaborative working not only with your team members and colleagues but also with people outside of your organisation.
With this new feature, there are a few things which you need to be aware of:
- This new feature will not apply to the people who already have access to the sites, documents and files.
- After the guest has lost access to the site, any user with the ability to share content externally can re-invite the guest to each document or site.
Site admins can extend access at anytime. There is also no limit on the number of times a site admin can extend access. Also, conveniently, admins will receive an email notification letting them know of any upcoming guest user access expiration dates.
What do you need to do to prepare for this update?
If you plan to enable this feature you will have to inform your SharePoint site admins and users, so that they are prepared to manage guest access.
When will this update happen?
You can expect this update to start roll out in late August and be complete by the end of October.
