Outlook can automatically add events to your calendar
June 6, 2018

(This applies to Outlook for O365 and Outlook 2016, Outlook on the web for Office 365 Business Outlook.com)

We all want to save a little time and want things to run efficiently, don’t we? Well thanks to a nifty little trick from Outlook, you can now get events from your email automatically added to your calendar.

So many things in our day-to-day life pass through our emails – from event attendance confirmations through to travel tickets.

Outlook automatically recognises these emails from supported senders and adds the items into your calendar – saving you time.

The events will always be added to your calendar as ‘private’ so that only you can see the details.

What do I have to do to activate this?
Nothing! This feature is automatically enabled. If you want to disable this feature, see the section below.

What will I see?
The first time Outlook creates an event for you, you see the following message along with a list of the event(s) being added:

What type of events are supported?
Outlook can create events from emails that contain the following information:

  • Events (business, music, sports or other)
  • Flights
  • Hotel reservations
  • Bills
  • Dining reservations
  • Package deliveries

How do I manage this setting?
You can turn this setting on or off through your Outlook on the web or Outlook.com options – you can’t change your events from email settings in Outlook for Windows, but you will receive a link to Outlook on the web or Outlook.com options page, in the email you receive the first time an event is created automatically for you.

Tip: you can find your Outlook on the web address by clicking File – the address will then be shown under Access this account on the web in the Account Settings section.

  1. In Outlook on the web or Outlook.com, select the Settings icon (this is the cog icon in the top right-hand corner)
  2. Under ‘Your app settings’, select Options or Mail.
  3. In the left-hand sidebar that appears, select Calendar > Events from email.
  4. You can do one of the following. Either:

a. To turn off Event from email, select Don’t add events to my calendar from email

OR

b. To have control over which events are added to your calendar, you can tick or untick boxes for Flights, Events, Hotel reservations etc.

Remember that events that are created from email are always marked as private, so that only you can see the details. If you want to change this, you can untick the box that says ‘Mark events as private so only I can see them’.
